What we do to keep your cold email out of spam.
Cold email lands in spam for a handful of known reasons: a new domain sending too much too soon, missing DNS records, bad addresses, emails that look like marketing, and nobody noticing when it starts to slip. Pipefire deals with every one of them for you. Here is exactly what we do, in the order we do it.
Eight things we do for every mailbox
All of it is included in the price, and none of it needs you.
- 01
We keep your real domain out of it
Cold email never goes out from your main domain. We buy 10 separate domains that look like your brand and put 2 mailboxes on each, 20 in total. Your invoices, quotes and client emails keep reaching the inbox whatever happens to cold sending. How this works →
- 02
We set up every record correctly
SPF, DKIM, DMARC and MX are written and published for every domain, then every mailbox is tested end to end. A mailbox that fails its test never sends. How this works →
- 03
We warm every mailbox for 14 days first
For 14 days a new mailbox sends and receives warm-up mail only, no cold email at all. If too much of its warm-up mail lands in spam, it stays in warm-up until that changes. How this works →
- 04
We start slow
After warm-up each mailbox sends 5 cold emails a day, rising to 30 over the next two weeks. Weekdays only, during your prospect's working hours in their own time zone. Warm-up keeps running underneath for as long as the mailbox sends. How this works →
- 05
We check every address before we send
Fake, mistyped and throwaway addresses are removed before sending. An address that bounces, complains or opts out is never emailed again. How this works →
- 06
We write emails that look like one person writing to another
Plain text, no images and no open-tracking pixel, all of which spam filters read as marketing. Around 75 words and never more than 125. Every email carries your name, a working opt-out and the one-click unsubscribe header Gmail and Yahoo require. How this works →
- 07
We check every mailbox and domain every hour
Bounces, spam complaints and where warm-up mail is landing are read for every mailbox. Every sending domain is checked against its DNS records and public blocklists. This runs day and night, whether or not you are logged in. How this works →
- 08
We stop a problem before it spreads
If bounces pass 3% or complaints pass 0.1%, sending stops on its own. A mailbox whose warm-up mail starts landing in spam goes back into warm-up, and returns at 5 a day once it is landing in the inbox again. Only the mailbox with the problem stops. The rest keep sending, and if a domain is damaged our team sets up and warms a replacement for you. How this works →
These are rules our sending code enforces, not results. We will publish measured inbox rates once we have enough sending to be honest about them.
Questions
Can you guarantee my emails land in the inbox?
No one can, and anyone who says otherwise is guessing. What we can do is take away every common cause of cold email landing in spam, measure where mail is landing every day, and stop sending from any mailbox that slips before it harms the others.
Do I have to set any of this up?
No. You approve the domain names we suggest and the emails we write. Everything on this page runs on its own after that.
What happens to my main domain?
Nothing. Cold email only goes out from the separate domains we buy for you, so your everyday email is never at risk.
Your domain never touches cold email.
About ten minutes on your side, then you watch it run. Month to month, cancel any time.
